Estate X-Ray

Estate X-Ray shows which reports are alive, which are dead weight, and what the dead weight still costs in schedules, duplicates and orphaned ownership.

What it answers

  • How many reports did nobody (or no person) open in the last 90 days?
  • Which unused reports are still scheduled, and how many runs did that cost?
  • Which reports have scheduled output that nobody opened three or more times in a row?
  • Which content is owned by disabled or dormant users?
  • Which universes and connections feed no document at all?
  • Where are the duplicate copies, and which copies were never opened?

Open it

In the BusinessObjects console, select Insights > Estate X-Ray.

Filters

Filter Values Effect
Environments one button per environment Limits every panel to the selected environments.
Window 30d, 90d, 180d, 365d (default 90) Defines "used" and "runs" in every count.
People + service accounts / People only toggle With People only, reports touched only by service accounts count as unused.
Folder click a treemap tile or a breadcrumb Drills into a folder and filters every panel below it.
Focus click a tile, a histogram bar or a worklist button Filters the cleanup worklist only. Click again to clear.

Usage counts only environments with audit data. Environments without audit are named in the tile notes and are never counted as dormant.

Panels

Panel What it shows Source
Not used at all / Not used by people Reports with no use in the window, out of all audited reports; the note splits used by people, service-only and used by nobody. Audit data, CMS metadata
Unused but still scheduled Unused reports that still have active recurring schedules, with the number of schedules and runs in the window. Audit data, schedules
Runs nobody opens Completed scheduled runs since a person last opened the report, three or more in a row; names the worst report. Audit data, instances
Owned by inactive users Reports whose owner is disabled, never logged on, or has not logged on in 180 days. User accounts
Unused universes + connections Universes and connections that feed no document, out of all of them. Lineage
Duplicate reports Copies with the same name and kind in one environment ("Copy of", "(old)" and trailing numbers ignored), and how many copies nobody ever opened. CMS metadata, audit data
Where the dead weight sits Treemap of folders sized by report count, coloured from used (green) to unused (red). Grey = no audit data. CMS metadata, audit data
Last use, people vs service accounts Histogram of reports by age of last use (never, more than 365 days, 181-365, 91-180, 31-90, 30 days or less), one bar for people and one for service accounts. Audit data
Cleanup worklist One row per report: tier (active, service-only, dormant, never, no audit), last person and last any use, people and service uses, recurring schedules, runs, size, duplicate flag, owner state. All of the above

Worklist focus buttons

The buttons above the worklist narrow it to one question: Not used at all (or Not used by people), Used by people, Service accounts only, Dormant, Never used since audit start, Unused but still scheduled, Scheduled runs nobody opened (3+ in a row), Owned by inactive users, Duplicate reports, Never-opened duplicate copies, Environments without audit data, Universes and connections with no documents.

With the universes and connections focus, the worklist switches to one row per universe or connection with its documents and how many of those people used. Show all with document counts lists every universe and connection, not only the unused ones.

Export

Export the worklist with Excel or CSV, or copy the SQL behind any tile. See Insights Dashboards for limits and behaviour.
